Jones & Webb Accounting ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal data we collect when you use this website, why we collect it, and what rights you have over it, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect

When you submit our contact form, we collect:

• Your name
• Your email address
• Your phone number, if provided
• Your business type, if provided
• Any details you include in your message

If you go on to become a client, we'll collect further information necessary to provide accounting or bookkeeping services, such as financial records, HMRC references, and business documentation. This is covered separately in our client engagement letter, not by this website policy.

This website does not currently use analytics or advertising cookies. If that changes, this policy will be updated to reflect it.

Embedded content from Google Maps

Our contact section includes an embedded Google Map showing our office location. When that map loads, Google may receive your IP address and set cookies on your device, in the same way it would if you visited Google Maps directly. This is Google's processing, not ours, and is governed by Google's privacy policy. We don't receive any personal data from the map ourselves.

Why we collect it

We use the information you submit to:

• Respond to your enquiry and arrange a callback
• Provide a quote or discuss our services
• Keep a record of correspondence with prospective and existing clients

Our lawful basis for this is legitimate interest — responding to enquiries you've directly sent us — and, where you become a client, the performance of a contract.

How it's stored and who sees it

Contact form submissions are processed by our website host, Netlify, and forwarded to us by email. We don't sell, rent, or share your personal data with third parties for marketing purposes. We may share data with third parties where required by law, for example with HMRC in the course of providing accounting services to you as a client.

How long we keep it

Enquiries that don't turn into a client relationship are kept for up to 12 months, then deleted. Client records are retained in line with HMRC's record-keeping requirements, typically at least 6 years after the relevant tax year.

Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you
• Ask us to correct inaccurate data
• Ask us to delete your data, where we're not required to keep it
• Restrict or object to how we use your data
• Request a copy of your data in a portable format
